Who we are
The responsible party is Oaks Coatings & Finishes ("we", "us"). We do handyman, painting, waterproofing and gutter cleaning work for homeowners, mainly in the northern suburbs of Johannesburg. You can reach us at info@oakscoatingsandfinishes.co.za.

What we collect
When you complete the request form we collect: your first name, mobile number, and email (if you give one); whether WhatsApp is OK; your suburb and, if you move the pin to your home, the map pin (if you do not move the pin, we store no pin); and the details you give about the job (what needs doing, size, timing, and any notes you write). We also work out a starting price from your answers and our price list, and keep it with your request. We check that your mobile number is in the right format. We do not send you an SMS to check it. While you fill in the form we save your answers so far and your suburb, without your name, number, email or map pin, so we can see where people stop. We also keep a scrambled (hashed) version of your IP address with your consent record, and basic referral data such as which link you came from.
Why we collect it and our lawful basis
We collect this information with your consent, which you give by ticking the consent box before you send the form. We use it for one purpose: to quote for and carry out your job, using contractors who do the work. We do not sell or share your information for any other purpose or for marketing.
Who we share it with
We share your name, number, suburb, map pin (if you place one) and job details with the contractor who does the work. If we send you a written quote, it is a page with a private link. It shows your first name, your suburb, the job and the price, and it records your first name and a scrambled (hashed) version of your IP address if you accept it. We use these service providers to run the site: Supabase (secure request storage), Vercel (website hosting and privacy-friendly analytics), CallMeBot (a messaging relay that sends our own team an instant alert when a new request arrives; the alert contains only the service, whether the job is small or big, whether it is urgent, your suburb, when you want it done, and a line telling us to open the admin page; it has no name, number, answers or notes), and OpenStreetMap (the map you place your pin on, which receives your device's IP address when map tiles load). If you tap "Send us a photo on WhatsApp", your own WhatsApp opens with a message ready to send. Nothing is sent until you send it, and WhatsApp's own terms apply to that chat. We do not share your information with anyone else unless the law requires it.
How long we keep it
We keep your request, and any quotes we made for it, for 24 months, after which they are deleted. Saved answers from unfinished forms are deleted after 30 days. If you ask us to delete your details sooner, we will (see your rights below).
Your rights under POPIA
- Ask what personal information we hold about you.
- Ask us to correct it if it is wrong.
- Ask us to delete it (the right to deletion / objection).
- Withdraw your consent at any time.

Cookies and analytics
We use necessary cookies and local storage to make the form work (it remembers your answers if you refresh the page) and to remember your cookie choice. Only if you choose "Accept analytics" in the cookie banner do we load privacy-friendly, cookieless analytics to understand how the site is used; choosing "Necessary only" loads no analytics at all. We do not use marketing or advertising cookies. You can change your choice using the cookie banner.
Security
We take reasonable steps to protect your information. Request data is stored with access controls and is not publicly accessible.
